Bookkeeper for Hampshire Genealogy Society
The holder of the position of Bookkeeper reports to and takes guidance from the Treasurer of the Hampshire Genealogical Society. The Bookkeeper maintains the day-to-day accounting system and produces reports for the Treasurer and other officers and post holders as requested.
Preferred background: experience in accounting, transactional processing and preparation of reports. Self-sufficient and a good team player
The Bookkeeper does not need to be an experienced family historian.
Responsibilities:
- Maintain Society’s Accounting System (currently Quickbooks)
- Enter all approved supplier invoices and member expenses into Accounts
- Identify all sources of income received through bank account and enter in Quickbooks
- Ensure every entry is coded to the correct Account and any prepayment or deferral is identified
- Operate the HGS Accounting email account
- Review our Banking and Accounting Processes to ensure they are fit for purpose, compliant with regulations and simple to use.
- Prepare and present Income and Expense Account, Balance sheet and bank balances for the Treasurer bi-monthly
- Assist with stock evaluations at the Financial Year end
- Provide Financial Reports as required
This role entails a mix of both remote and in-office working at Hampshire Record Office in Winchester, using a laptop loaned by the Society. Paperwork is held at the HGS Office in Winchester. The role may take up to a day a week.
This role could be combined with that of the Treasurer of Hampshire Genealogical Society.

The Society is run entirely by volunteers and is affiliated to the Family History Federation (FHF) which means we exchange information, ideas and best practice with other Family History Societies and their members.
